2019-SE-002: Utilization Management Service Entry Specialist - INTERNAL POSTING ONLY

Job Summary:
The Utilization Management Specialist will work within the Service Entry to provide various tasks such as utilizations monitoring, managing scheduled and high-level support to the Service Entry Team Leader.  The team member will serve in a capacity to actively management front door and channel consumers to the correct level for screening and assessment.  The position will be responsible for the utilization management of serves within the Service Entry team working with the Service Entry Team Leader as well as the Service Enhancement Team to ensure standards are met.  The Specialist will be responsible for external referral management and ensuring important community relationships are maintained.

Job Responsibilities:

1. Utilization Management

2. MMBPIS monitoring and accessing screening/assessments.
This task requires a vast amount of data, precision and specific, concentrated knowledge. Serves as a liaison to team member to determine how to proceed in order to stay in compliance.
3. Managing schedules –
Assigning screenings and managing schedules for the team has expanded to include, but not limited to, daily reporting of screenings, monitoring all emails for service questions and requests, making sure needs (internally and externally) are met promptly and assigned for follow up with team members or myself as appropriate.

4. Community Liaison
Fosters internal and external relationships. Provides prompt, professional and respectful contact instilling confidence for consumers, coworkers and community members with our department and agency.

5. Assist with Triage with Service Entry Calls
Serves as part of the Service Entry “phone tree”, to answer consumer phone calls when a request of services is being made. Will triage away from Protocall in an effort to provide the best customer service as well as promoting better use of agency funds.

6. Department Training
Will worked extensively with new hires to help train and equip them for their current roles. Will educate on agency policy and procedures ensuring that these are followed in accordance with WMCMH expectations.
7. Office Management and Support
Responsible for providing complex and responsible office support functions requiring a thorough knowledge of Team procedures, goals and precedents. Serves as a resource person to the Team. Aids and assists the Team by maintaining team-related files and records, ensuring that documentation is complete and properly filed; ensuring that filing systems are well organized and that filing is current.

8. Information Management and Coordination
Serves as recorder for the Team, maintaining responsibility for the smooth flow of information pertaining to Team-related activities/responsibilities. Provides clerical support to Team; preparing, assembling and distributing informational documents, packets and other correspondence.

9. Project Management
Assists and supports the Team in the research, analysis, implementation and monitoring of Team-related programs/activities. Manages and tracks data collection/reporting information relevant to Team activities.

10. Communications Facilitation
Ensures a high performance work environment that reflects the Team’s values, mission and goals by effectively representing the Team by phone, e-mail, in person and in written correspondence. Interacts with and interprets/attends to the requests of the Team, internal staff, and the general public.

Job Qualifications:

1. High school diploma or GED. Associates degree in business related field preferred.

2. Three to five years advanced support services experience. or associate’s degree in business related field preferred.

3. Proficiency in Microsoft Office components (Word, Excel, Access and PowerPoint) and the ability to learn other advanced software packages.

4. Must have the ability to organize, prioritize and manage multiple tasks for and anticipate the needs of the team.

5. Must have the ability to work in a fast-paced environment and in stressful situations while maintaining composure.

6. Must have excellent verbal and written communication skills.

7. Must possess a valid driver’s license and provide own transportation to and from meetings and activities at varying work locations, including all agency locations in Lake, Mason, and Oceana Counties.

8. Lived experiences with mental illness/developmental disabilities/substance use disorders are valued.
